Event Terms and Conditions

Event Cancellation and Refund Policy
If your circumstances change prior to the event, you may nominate a substitute delegate at no charge (requests must be made in writing to info@activeeducationaustralia.edu.au). Cancellation requests will be considered up to 14 days prior to the event where transferring a registration is not appropriate. If a refund is approved, a cancellation fee of $50 applies. No refunds will be issued within 14 days of the event. Non-payment does not constitute cancellation. If any face-to-face component of the event is cancelled due to circumstances beyond our control, registrations will be transferred to a virtual registration. Recordings or virtual delivery mode will be communicated as soon as possible. Active Education Australia reserves the right to waive any of the above charges at its discretion.

Payments
Registrations without full payment or a school purchase order number will not be processed. To qualify for “members’ rates” you must be a current financial Active Education Australia/ACHPER Victoria Member. Upon receipt of payment, a confirmation email and tax invoice will be issued. All accounts must be paid in full either within 14 days of the invoice date or before the event start date, whichever is sooner. The organisers reserve the right to cancel unpaid accounts anytime after 14 days from the date the tax invoice is issued. If payment is not received prior to the event, access will only be granted once full payment is made via credit card.

Viewing Platforms
Where events are delivered virtually, the organisers will provide clear guidelines on the best systems to use for optimum participation. Active Education Australia will not be responsible for, or offer refunds due to, technical issues resulting from failure to follow viewing guidance.

Privacy Policy
By completing the registration form, you acknowledge that your details may be shared with Active Education Australia and relevant suppliers working on the event, solely for the purpose of your involvement.

Insurance
Registration fees do not include insurance of any kind. If attending a live event, you are responsible for arranging your own insurance to cover medical, travel, registration, and other expenses. In the event of industrial disruption or other unforeseen circumstances, Active Education Australia accepts no responsibility for loss of monies incurred. Active Education Australia accepts no liability for injuries, losses, or damages to persons or personal belongings during the event.

Disclaimer
The program is correct at the time of printing, but Active Education Australia reserves the right to alter the program without liability for any loss or inconvenience caused. Active Education Australia reserves the right to use any audio or video recordings or photographs taken during the event for promotional or reporting purposes. Where sessions are delivered by independent presenters, Active Education Australia does not accept responsibility for advice or views expressed. Delegates are encouraged to participate in practical sessions at their discretion and should notify the presenter of any pre-existing injuries.

Force Majeure
Active Education Australia will not be liable for any loss caused by cancellation due to circumstances beyond its reasonable control (“Force Majeure”). Force Majeure includes but is not limited to: fire, flood, earthquake, severe weather, utility failures, building collapse, widespread disease (including pandemics), strikes, war, terrorism, or government actions. Where events are cancelled due to Force Majeure, Active Education Australia will make reasonable efforts to reschedule or offer a virtual alternative. If this is not possible, a non-transferable credit note will be issued for use at a future event within 12 months. No compensation or liability will be accepted for cancellations arising from Force Majeure.

Imagery / Footage
By attending, you grant Active Education Australia the right to record, film, photograph, or livestream you and to use this content without further approval for promotional or educational purposes. If you do not wish to be included in photos or video, please inform us before or at the event.

Events Code of Conduct
We aim to create a safe, inclusive, and enjoyable environment for all, regardless of gender, race, age, ability, sexuality, religion, or background. Harassment, bullying, or abuse will not be tolerated. This may result in removal from the event and/or exclusion from future events.

These Terms and Conditions are subject to change. By registering for an Active Education Australia event, you acknowledge and accept these Terms and Conditions.
